Meeting Notes 9/8/11-8:00am

-Treasury report by Kimberly

-discussed our starting account balance for school year versus last year’s starting balance

-Fundraiser

-Monday @ 8:30 Mr. Keith or rep will be at school

-proceeds will benefit PE, music, and library

-candy bars will be distributed to parents at parent/teacher conferences

-one box per student will be given initially, additional boxes can be picked up once returned

-for every 40 boxes sold, a 5lb Hershey bar will be given away via a drawing

-Heather will work on design and pricing for shirts to be sold to students as an additional fundraising opportunity

-P/T conferences

-Monday and Tuesday from 4-7pm

-Subway will be provided for teachers and volunteers will provide desserts and drinks

-Room parent

-a generic letter will be sent home with students asking for parents interested in being a room parent or helping

-Halloween parties are scheduled for October 28th from 2-2:40pm

-reimbursement for party supplies is now raised to $20

-Octoberfest will be held on October 9th

-more details at a later date, but PTO will need to volunteer
-Gayla will contact Bev for more info

-Flu shots will be administered on Wed. October 19th in the AM

-PTO will provide lunch for those helping with the clinic

-volunteers will be needed

-Gayla is still working on getting non-profit paperwork filled out

Gentry Primary School General PTO Meeting

May 5, 2011    6 pm

 

  1. Welcome – Brandy Cordeiro called the meeting to order @ 6:00 PM by welcoming everyone in attendance.
  2. Pledge – all students present led the Pledge of Allegiance followed by Dawn White leading the group in prayer.
  3. Powerpoint presentation prepared by Scott Erks began with an explanation of PTO goals and objectives.
  4. Treasury Report given by Kimberly Lashley. The April financial report was reviewed with an ending balance of $9, 062.94 after the month’s activity.
  5. Fundraiser – The final profit for the 2010-2011 school year fundraiser was $6,210.17. This money was put towards new rubber mulch nuggets for the playground. PTO spent $5,634.22 for our portion of the mulch nuggets. McTeacher Night earned the Primary School $600, which will be split in thirds for each grade level to spend on Playdays.
  6. Mrs. Rosborough discussed Track and Field Day with everyone. She went over what the kindergarten parents could expect since this is their first experience. Sams donated 800 bottles of water and McKee donated 700 snacks. The deadline to order t-shirts was given and the rainout date of May 27 was discussed.
  7. The Primary Staff thanked the Teacher Appreciation Committee/Sissy Wilmoth, community members, and parent volunteers for an OUTSTANDING week of gifts and treats!!
  8. The slate of PTO officers for the 2011-2012 school year were introduced. Mrs. White asked any parents that wanted to volunteer for Save a Teacher to see her after the meeting.

Executive Meeting

Parent Teacher Organization (PTO)

April 14, 2011

 

    1. Welcome-Brandy Cordeiro began the meeting at 3:30. In attendance were Brandy Cordeiro, Jennifer Welch, Patricia Wilmoth, Scott Erks, Kelly Carr, Andrea Folger, Kristy Roberts, Kimberly Lashley, Gayla Wilmoth and Brandy Stell.
    2. Treasury Report was presented by Kimberly Lashley. Beginning balance was
    3. $16,398.64.

      *$6,210.17 were the total net profits from candy bar sales. Deposit for

      March was $12.00.

      *Mr. Chuck will be here to talk to the kids the Monday after Labor Day

      (9/12) at 9:00 about the candy bar sales.

      *United Way quarterly deposit was $750.00.

      *Interest deposit of $5.52 was credited to our account.

      *Cost of ribbons was $127.05 for Red Ribbon Week.

      *Check was written for $100.00 for Scholastic books for the Character Ed

      Assemblies.

      *Check was written for a scholarship donation for $100.00.

      *Check was written for income taxes that were split evenly with the

      Intermediate School for $153.00.

    4. Track & Field Day
    5. *There are approximately 700 children we need to supply with drinks and

      snacks.

      *Brandy is checking with Little Debbie for snacks.

      *Gayla Wilmoth will get the key for the concession stand.

      *Drinks have been requested from Sam’s Club by Kimberly Lashley. She is

      planning to meet with them around the 1st of May.

      *Brandy will email Sandy to check on using the water jug.

      *Water cups & trash bags will be provided by PTO.

      *Cheryl Rosborogh will ask Kathy Beach to bring tents for use as nurses

      stations.

      *$528.74 is the expense for ribbons for the children. That amount will not

      be split evenly due to the Primary School not needing as many. Primary

      will need 308 ($208.47) and Intermediate will need 362 ($320.27). Cheryl

      needed to order together to receive the discount. Primary has some left

      over from last year we will use as well.

    6. Rubber Nugget update presented by Kelly Carr. Quote for nuggets of $11,434.22 was presented for payment. Dr. Barrett has agreed to reimburse PTO for ½. Quote is only good for 30 days. If ordered now, will receive within 2-3 weeks (Approx 1st of May). We will need a Bobcat and volunteers to spread the nuggets. Gayla will contact Dr. Barrett to get the go ahead for us to order. Brandy Corderio made a motion to order, Scott Erks seconds the motion.
    7. Nomination forms for 2011-2012 Officers were presented. Discussion on who are possibilities.

    9. Miscellaneous Business & Requests included McTeacher night proceeds were $600.00, to be split by grade levels for the end of school play day.
    10. *Ms. Bostick asked permission to order a magazine that will be shared with

      the Intermediate School for instruction for Music teachers. She has

      requested a copy of the invoice. It is approximately $100, to be split with

      Intermediate School. Brandy Stell makes a motion to approve payment,

      Brandy Corderio seconds the motion.

      *Patricia Wilmoth is requesting $600.00 for Teacher Appreciation. $544.00

      is the current amount needed, but she is requesting $600.00 just in case

      extra is needed. Jennifer Welch makes a motion to approve payment,

      Scott Erks seconds the motion. Kimberly will write Patricia a check today.

      *Kimberly Lashley makes a motion to set budget for Teacher Appreciation at

      $600.00 for each year forward, Brandy Stell seconds the motion.

    11. May 5th @ 6:00pm will be our next General Meeting. At this time we will hold elections for Officers. Kindergarteners are to perform.
    12. Meeting is adjourned at 4:05pm.

 

 

GENTRY PRIMARY SCHOOL P.T.O.

March 17, 2011

 

1. Treasurer, Kim Lashley, presented treasury report:

Mrs. Wilmoth commented on rubber chips. Mrs. Wilmoth will visit with Kelly Carr about when to purchase rubber chips for the playground. Dr. Barrett has reported that he will contribute to ½ of the purchase cost.

NOTE: Have contacted Kelly with some questions regarding installation of rubber nuggets and asked for her to get some specific information from vendor regarding ordering, how delivered, installed, etc. (3-31-11)

Mrs. Cordeiro reported on purchase of Red Ribbon week materials and materials for Character Ed assemblies.

Sissy Wilmoth reported she has been "shopping" for materials for Teacher Appreciation Week. Sissy will bring a requested dollar amount to purchase Teacher Appreciation week supplies to next month’s meeting.

Kim Lashley reported on expense to pay taxes. Last year, 09-10, Primary School was still combined with the Intermediate School as the Elementary School PTO. The Primary School half for the 09-10 tax preparation is $153.00.

 

2. Gentry High School Scholarship Committee submitted letter requesting donation to their fund. Committee voted to contribute $100 to the GHS Scholarship fund.

 

3. Mr. Erks reported on the fundraiser for 2011-2012. Mr. Erks has been in contact with Mr. Chuck. The Primary School will again sell candy bars. Candy bars are nationally known and will sell for $2.00 each (Hershey). School receives 45% profit. This was a successful fundraiser for Primary School 10-11. Mr. Erks will contact Mr. Chuck to see if there are any benefits to paying for candy bars when ordered.

Primary School achieved its goal last year and students were treated to a school wide Magic Show. Magic Show is scheduled reward for 2011-2012 also.

It was noted that the notes to parents from the candy company were confusing last year. Mr. Chuck reported that he thought this had been corrected for next year. If needed, Primary School/PTO will compose their own note to avoid confusion.

 

4. Mrs. Cordeiro reported that the PTO had received $2.00 from June Bug Reruns – a consignment business that donates to named charities.

 

5. Mr. Erks reported on Kohl’s A Team donation. Kohl’s employees come once each semester and read to/with students. Kohl’s donates $500 each semester - $1000 total. In order to comply with their regulations, Kohl’s requested Federal Tax ID # of PTO.

 

6. Other miscellaneous information:

 

McTeacher Night is April 5th – the first McTeacher Night was held last year in Siloam Springs. Very successful – about $600 raised. Money was equally divided to the grade levels for end of year activities – Play Day.

 

Secretary and Nurses’ Day – Committee voted to buy gift cards for secretaries and Nurse Robin.

 

Track and Field Day – scheduled for May 20th -

Brandy Cordeiro will request Little Debbie snacks from McKee for both schools – approx. 700 students.

Kim Lashley will request water and other drinks from Sam’s Club for both schools – approx. 700 students.

Mrs. Wilmoth notified Mrs. Waters at the Intermediate School that Brandy and Kim were including the Intermediate School in their requests. Mrs. Wilmoth reminded Cheryl Rosborough to confer with Queen-B (GIS) about purchasing ribbons for track and field day. Mrs. Rosborough will report cost of ribbons at April meeting.

 

Nominations and Elections – Mrs. Cordeiro presented ballot for election of officers for 2011-2012 PTO.

NOTE: Ballots were sent home after spring break. Mrs. Cordeiro will present at April meeting.

 

Next Meeting of the Executive Committee is scheduled for April 14th.

Final meeting for the general public is scheduled for May 5th at 6:00. Kindergarten will perform and introduce officers for 2011-2012.
